Project Billing Coordinator

Job Type: Full-time

Basic Function: 

The basic function of the Project Billing Coordinator is to provide clerical and administrative services, to ensure efficient, timely and accurate invoicing of projects under their control. The Project Billing Coordinator is responsible for preparing project billing/invoicing, completing management reports, coordinating project setup, and other general project management and administrative support/duties as required, while adhering to the policies and procedures of both Surepoint Group and the client.

Qualifications:

  • Must have excellent computer skills, specifically in Microsoft Office (Excel, Word, and Outlook); Experience working with Microsoft Dynamics GP considered an asset
  • Must be highly organized and able to multi-task with minimal supervision
  • Great problem-solving and decision-making skills; high attention to detail
  • Thrives in a challenging environment, remains respectful and courteous under pressure
  • Excellent interpersonal skills (oral and written); able to work with multiple organizational levels
  • Optimistic/Collaborative approach and attitude towards work
  • Demonstrates excellent customer service and telephone skills
  • Shows responsibility and confidentiality regarding work related information

Required experience:

  • Related: 1 year

Principle Duties: 

  • Enter daily work tickets, working closely with payroll to ensure deadlines are met and employee pay is accurate and complete
  • Maintain confidentiality with regards to employee information
  • Facilitate the customer invoicing process, including the complete compiling of backup documentation
  • Manage Unbilled Revenue listing to ensure timely billing and ensure accurate accounting
  • Check data for completeness, and proper coding
  • Correspond with Managers/Leads for approval and coding
  • Gather and provide information for project set-up including billing location, rates and estimates
  • Entry of 3rd Party Electronic Invoicing for Clients i.e. open invoice, e-payables, ADP, etc.
  • Follow up/Review for accuracy of job files prior to closing i.e. job prof, documentation, electronic files
  • Carry out reporting activities according to specific deadlines, providing Project Managers with KPI reports
  • Follow established procedures for processing files, i.e. job costing, archiving
  • Investigate and resolve customer queries and Internal AR queries
  • Communicating with customers via phone, email, mail or personally
  • General Administrative tasks such as filing, copying, scanning, document development
  • Develop and build internal partner relationships with all the Surepoint group of companies and corporate office
  • Support branch operations to meet customer service requirements and resolve issues or concerns
  • Be a mentor for all new staff members joining Surepoint including warehouse and apprenticeship personnel
